Business Support Officer

Role:               Business Support Officer

Based:            Remote (at least 1 day per month in Central London)

Rate:                   £18- £20 ph umb

Start Date:      ASAP

Duration:        Temp until March 2025

Hours:             355 hours per week Monday to Friday

Our client, a specialist Domestic Violence charity, is looking to recruit a Business Support Officer responsible for supporting the wider organisation on key organisational tasks.

Synopsis of duties:

  • Liaise with staff, IT, and tradespeople regarding equipment collections, delivery, maintenance of the Asset Registry, and ensure a safe office environment in consultation with the Facilities Manager.
  • Deal promptly and professionally with email enquiries, adhering to confidentiality policy, and support internal communications by collating and distributing information to staff.
  • Book travel, hotel accommodations, venues, and meeting rooms as required, manage the booking calendar, and ensure accurate minutes are taken for all meetings, including the Staff Forum.
  • Open and distribute post, monitor stationery supplies, and ensure office equipment is maintained at appropriate levels.
  • Ensure that the office environment complies with and maintains a high level of health and safety standards in accordance with legislation.
  • Support training material preparation, course bookings, maintain induction packs for new employees, and update the staff organisation chart.
  • Identify and pursue opportunities to communicate the organisation's mission and work, including designing and ordering ID cards and promotional material

Essential Requirements:

  • Extensive and thorough experience of providing administrative and business support.
  • Excellent organisational skills and including IT skills. Demonstrated ability to use Microsoft Office (Word, Excel, and PowerPoint).
  • Excellent interpersonal skills with a confident and professional approach to developing and maintaining effective relationships both internally and externally.
  • Demonstrated excellent verbal and written communication skills, evidenced by the ability to produce accurate formatted minutes and confidence to respond professionally to a wide range of people.
  • Ability to work independently as well as part of a team, taking initiative and adopting a solution-focused approach.
  • Ability to manage multiple demands under pressure with appropriate focus and attention to detail.
  • Ability to identify and assess potential risks involved in work activities and manage these in accordance with policies and procedures.
  • Experience of overseeing premises, facilities, and supporting compliance in relation to health and safety requirements.
  • A self-starter with the ability to use their initiative and judgement in dealing with colleagues and partner agencies without direct supervision.
